Responsible for:

The Finance & Office Manager is responsible for processing all core financial transactions for SWFCCP and maintaining accurate, up-to-date records within the finance system.

The postholder will provide financial support to the Senior Management Team (SMT) and the SWFCCP Accountant, while taking responsibility for the effective management of accounts payable and receivable, online banking, and BACS payments. The role also includes collating and summarising payroll information and acting as the key liaison with the outsourced payroll provider. Excellent organisational skills, strong attention to detail, and the ability to manage time-sensitive tasks are essential to ensure compliance with legal and regulatory requirements.

Key Responsibilities

1. Financial Management and Reporting

  • Maintain accurate financial systems, records, cashbooks and supporting documentation.
  • Prepare and collate information for monthly management accounts, budgets and forecasts in partnership with the Senior Management Team and SWFCCP Accountant.
  • Monitor budgets, identify variances and provide timely financial information to the Head of Community, Senior Management Team and SWFCCP Accountant.
  • Maintain the central contracts and grants schedule, ensuring income, contract periods and supporting evidence are complete and current.
  • Support finance monitoring and evaluation for all grant-funded programmes.

2. Transaction Processing and Controls

  • Manage invoicing, purchase orders, staff expenses, petty cash, bank deposits and payments.
  • Complete bank reconciliations and cashbook coding and analysis accurately and on time.
  • Prepare and post routine journals and agreed management-account journals.
  • Maintain effective electronic and manual filing systems and ensure records are audit-ready.

3. Payroll Administration

  • Collate and summarise payroll information, liaising with the outsourced payroll provider and HR to resolve queries and meet payroll deadlines.
  • Process the payroll payment file and ensure staff are paid by the required date.
  • Prepare monthly departmental and project payroll analyses for employed and casual staff, and post agreed journals to Sage.
  • Follow up outstanding timesheets and payroll allocation information with Senior Management Team members.

4. Audit and Year-End Support

  • Maintain year-end analysis schedules and supporting evidence for external audit.
  • Support external auditors and work with the SWFCCP Accountant to ensure financial procedures and year-end processes run smoothly.

5. Office and Organisational Support

  • Attend Senior Management Team meetings and present accurate financial information based on approved management accounts, budgets and forecasts.
  • Respond professionally to telephone and in-person enquiries, directing queries to the appropriate team where required.
  • Liaise with the organisation’s IT partner to support the effective operation of IT systems.
  • Represent SWFCCP and partner organisations professionally, maintaining punctuality, confidentiality and high standards of conduct.

Skills, Experience, Personal Attributes & Qualifications

Qualifications:

Essential

  • Minimum Grade 4/C in Maths and English
  • SAGE 50

Desirable

  • Accountancy Qualification
  • Safeguarding Certificate

Skills and Experience:

Solid Knowledge and experience of financial systems, especially SAGE 50

Proven experience as a Finance/Office Manager or similar role

Strong IT skills that include Excel, Word and Outlook

High level of professionalism

The Finance and Office Manager will ensure that SWFCCP’s financial administration, controls and office systems are accurate, timely and effective. Working closely with the Senior Management Team and SWFCCP Accountant, the postholder will coordinate day-to-day finance operations, support budget holders, maintain audit-ready records and provide reliable financial information to support organisational decision-making.

The postholder will maintain effective financial controls and documented procedures, including appropriate segregation of duties, authorisation limits, fraud-prevention measures, secure handling of financial and personal information, records retention and compliance with SWFCCP policies. They will identify and escalate financial, operational or data risks promptly and support the implementation of agreed corrective actions.
