Human Resources and Safeguarding Executive (part-time).

Senior Safeguarding Manager.
Head of Human Resources and EDI.
Purpose of the Role
To support the Head of Human Resources and EDI and Senior Safeguarding Manager with day-to-day activities related to the Company’s Human Resources and Safeguarding departments, taking a lead role on safeguarding and safer recruitment and selection, employment documentation, and maintaining the Company’s HR software system and safeguarding systems. The post holder will provide a HR and Safeguarding administration service for the Club and Town Sports and Entertainment Group (the ‘Company’), encompassing all aspects of the employment lifecycle, and ensuring full compliance with employment legislation and safeguarding regulations.

Role Specific Responsibilities
The post holder will:
• Take a full and active role as a member of the Safeguarding team, supporting the Senior Safeguarding Manager with administrative duties, audit processes, and ensuring staff complete and maintain mandatory training, and Safeguarding Self-Declaration forms on an annual basis.
• Work with the Senior Safeguarding Manager and the Head of Human Resources and EDI to ensure the Single Central Record of safeguarding and safer recruitment checks is up to date.
• Support with Safeguarding quality assurance processes as required.
• Support the Senior Safeguarding Manager with an annual all-staff CPD event or similar Company-wide training.
• Act as minute-taker in Safeguarding working group meetings as required.
• Coordinate the recruitment and selection process for the Company, including placing job advertisements on various job boards, preparing job descriptions and application packs, creating vacancies in the Applicant Tracking System, liaising with managers regarding short listing of applications, organising and participating in interviews, and ensuring candidates are updated on the status of their application.
• Liaise with the Communications department to ensure current vacancies are promoted across the Company’s channels.
• Lead on the onboarding process for new staff, including issuing offer of employment letters and contracts, validating new starter documents, conducting ‘right to work’ checks, applying for references and DBS Disclosures, and ensuring full compliance with the Safeguarding and Safer Recruitment Policy and Procedure.
• Liaise with employees and their line managers to ensure all mandatory documents and training are in place/undertaken within specified timescales.
• Maintain accurate records of all new starters, leavers, and contractual changes within You Manage, the Company’s HR system.
• Ensure managers conduct probationary review meetings in accordance with the Probationary Period Policy and probationary review schedule, and that the outcomes are recorded and communicated.
• Maintain the fixed-term contract database and ensure the Head of Human Resources and EDI and line managers are aware of any contracts that are nearing expiry, giving appropriate notice to ensure discussions and decisions can take place as necessary.
• Input absence records to You Manage monthly and/or as required.
• Ensure all documents relating to monthly payroll, including new starters, leavers, and contractual changes, are saved in the relevant folders for processing and in the applicable pay period.
• Undertake general day-to-day activities such as photocopying, scanning, sending/ responding to emails, answering the telephone, and managing incoming and outgoing post.
• Work with other football clubs and organisations to help share best practice in relation to HR and Safeguarding.
• Contribute to the Company’s strategic and operational aims, as expected of all employees.
