The Purpose:  

To support our Academy Scouting Division at Carrington with any administrative requirements that the department may have from fixture requests to travel arrangements. To be integral in ensuring the smooth running of the scouts attending match days on a national and international basis.

The Role:

  • To liaise with scouts to book/amend UK & Global travel requirements.

  • To request match tickets daily for UK full time and casual scouts.

  • To ensure that all match requests (tickets/car parking) are completed on the online portal.

  • To assist with the preparation and management of new casual starter scout applications and documentation.

  • To complete DBS checks and renewals for the appropriate department.

  • To help maintain department records including travel documents, personal details, IT equipment and club contacts.

  • To collate the weekly schedule of the full-time scouts, UK based.

  • To assist with managing schedules/annual leave with the Head of Academy Recruitment.

  • To accuracy check and distribute casual scout expense forms for checking.

  • To lead on preparing the monthly expense spreadsheet for payroll.

  • To organise the scouting kit with the relevant department and keep sizing records up to date.

  • To be responsible for distributing match videos via the online system.

  • To take ownership for booking the annual global scout conference.

  • To assist with maintaining regular communication with scouting team.

  • To provide general administration support to the whole department and Head of Academy Recruitment.


The Person:

  • A proactive and well organised approach to work.

  • An ability to multi-task and priorities workload.

  • Excellent interpersonal and communication skills.

  • A willingness to learn and develop in the role.

  • An excellent understanding of all Microsoft office packages, in particular Word, Excel and PowerPoint.

  • The ability to work well under pressure and be able to meet strict deadlines.

  • An attention to detail when working with large tasks such as providing reports for Heads of Department.

  • Experience in producing concise reports.

  • The ability to summarise complex and detailed information to convey information in a way which can be easily absorbed and understood.
