Academy Operations Lead

About The Role

Leicester City Women’s Football Club are excited to be recruiting for an integral role within the Club’s Academy.

Reporting into the Head of Academy, the Academy Operations Lead will support Academy and Operations leadership, providing professional office management and administration to enable efficient functioning of the Academy’s clerical, financial and operational processes within a safe and supportive environment.

Who We’re Looking For

The ideal candidate will have significant experience in previous office management, operations, or senior administrative roles, ideally having had some exposure to project management responsibilities. This role will collaborate with various internal stakeholders, so would benefit from a candidate with an approachable and personable style who is confident in building meaningful working relationships with colleagues and players alike.

Main responsibilities of the role include:

-The development of efficient systems and practices ensuring Club policies are kept up to date and processes are managed and implemented effectively and efficiently by all departments. Liaising with security to ensure optimum site safety for academy activity.

-Responsible for ensuring all players are registered on all relevant platforms, e.g. iFAS, Platform for Football and JPL.

-Responsible for the administration of the academy audits, working with key staff to ensure evidence is collated and uploaded to be presented to the auditors.

-Coordinate the Academy Pathway fixtures programme and be the main point of contact for away team, officials and wider matchday stakeholders (internally and externally).

-Liaise with Head of Operations and Governance regarding new staff & starter information when required. Collating staff qualifications and training and arranging payments for courses.

-Organise team travel and accommodation arrangements for all players and Club staff including hotels, flights, and car hire.

-Secretarial duties including, but not limited to, preparing letters, presentations, reports, and information packs. Support and take minutes for the Head of Academy and wider Academy team. Raise department purchase orders, process invoices and order office supplies and stationery.

-Supporting the financial management of the academy by raising PO’s and tracking expenditure. Working with LCFC finance to ensure invoices are paid and receipts submitted.

-Collate maintenance requests and liaise with the facilities department and grounds. Prioritising and issuing tasks effectively and promptly.

-Create, deliver and update all Club Handbooks, codes of conduct and risk assessments.

From its formation in 2004, the Club was run on an amateur and semi-professional basis with support from Leicester City Football Club.
